A mass email is nothing more than an email that is sent to a mailing list or to a large number of people, who are usually subscribed to a newsletter. Since mass emails are often sent to hundreds or thousands of people, their sending is usually handled with email marketing programs, or web applications. When you send out a mass email, you need to write relevant and engaging content that grabs the attention of readers and that follows certain guidelines and rules regarding spam. You can therefore use software specifically designed for email marketing, or internet applications, useful for managing and sending mass emails. Read on to learn what steps to take to create and send a bulk email.
Steps
Method 1 of 3: Write the Mass Email
Step 1. Think about the title of the object, which must attract attention and be interesting
The title of the subject must be intriguing and exciting enough to prompt readers to open the email.
Make the subject title relevant to the body content of the email. This will prevent readers from feeling duped if they open the email and find content that has nothing to do with the title
Step 2. Write a short, direct message in the mass email
Readers are more likely to feel engaged if the email is concise and direct.
Provide some minimal details or snippets of information, then include links within the body of the email so that readers can go to your site to read more or to purchase your product or service
Step 3. Tell readers why your communication is important or how they will benefit from it
For example, if you sell products that are currently on sale, let readers know that they can visit your site to buy gifts for their friends and family at a discounted price.
Step 4. Show readers how they can benefit from the information contained in the mass email
When newsletter subscribers read the email, they need to understand what to do or how to use the information in the email to contact you or to buy your products or services.
Provide readers with instructions on how to pay for a product, perhaps including a link to the purchase page on your site, or by entering your phone number, address, or other contact information
Step 5. Make your bulk email sound like a pressing matter
If readers feel they need to act immediately in order to take advantage of your services or products, they are more likely to follow your instructions and go to your site.
Offer readers a promotional discount code with an expiration to encourage them to use it to immediately purchase your products or services
Method 2 of 3: Follow the Spam Guidelines
Step 1. Send mass emails to a certain target audience only
If you send an email to those who have voluntarily subscribed to your content, you will get more participation and sales activity from readers.
Send bulk emails to readers who have subscribed to the newsletter, blog posts, updates, announcements and other features related to your site, organization or business
Step 2. Give readers the option to unsubscribe from the newsletter
While this practice may not seem commercially beneficial, it is mandatory to provide readers with the option to stop receiving your emails in the event that they change their mind or no longer want to be in contact with your organization.
Include a link at the bottom of the bulk email that allows readers to unsubscribe from the newsletter and receive further communications
Step 3. Format the bulk email to prevent clients and readers from marking your emails as spam
Certain keywords and formatting styles trigger spam filters in email clients or lead readers to believe your email is spam; this will prevent future emails from being delivered to these recipients forever.
- Refrain from using some formatting techniques, such as writing capitalized text, inserting too many links in the text, putting images only in the body of the email, and ending sentences with many exclamation marks.
- Refrain from using certain keywords that say "urgent", satisfied or refunded, that scream at "news" and the phrase "click here".
Method 3 of 3: Email Marketing Software
Step 1. Find a software or web application that allows you to send mass marketing emails
Most of these software allow you to effectively manage the subscriber email address database and contain a platform on which to compose mass emails.
- Write something like "email marketing software" or "mass email application" on a search engine to find services specifically designed for mass emails. "Constant Contact" and "Send Blaster" are two examples of mass email applications.
- Go to the "Email Marketing Software Review" website (it's in English), you will find the link in the Sources and Citations section at the bottom of the article, to read some reviews and compare the features of different software that you can use to send mass emails.
Step 2. Use the marketing software or application of your choice
This step will vary based on the program or application you decide to use.
Follow the instructions provided by the software or application manufacturer to know how to send bulk emails with that specific program
Warnings
- Never attach documents or files to mass emails. Most readers will not open the attachments because they will suspect they are viruses.
- Avoid buying email lists from third parties and other companies or organizations unrelated to your field of business. Sending mass emails to those who have not subscribed to a newsletter or who have not deliberately decided to receive your content is considered illegal, and your emails will be marked as spam.
