Do you need to convert an Excel document into a Microsoft Word document? Excel does not provide a native function for converting a spreadsheet into a Word document, and vice versa Word cannot handle an Excel file directly. However, it is possible to copy a table from an Excel sheet entirely, paste it into Word and save the resulting document in Word format. Steps
Method 1 of 2: Copy and Paste Data from Excel to Word
Step 1. Copy the Excel data
Within the Excel sheet, select all the cells that contain the data you want to insert in Word, then press the hotkey combination Ctrl + C.
- Use the hotkey combination Ctrl + A to select all data in the active worksheet, then press the hotkey combination Ctrl + C.
- Alternatively, go to the "Edit" menu and select the "Copy" option.
- If you're using a Mac, press the hotkey combination ⌘ Command + C to copy the data.
- In addition to being able to copy and paste data from an Excel sheet into Word, you can also copy a chart from an Excel sheet and insert it into a Word document.
Step 2. Paste the Excel data from the system clipboard into Word
From the Word window, move the cursor to the place in the document where you want to insert the copied table, then press the hotkey combination Ctrl + V. The table will be copied into the Word document.
- Alternatively, go to the "Edit" menu and select the "Paste" option.
- If you are using a Mac, press the hotkey combination ⌘ Command + V to paste the copied data.
Step 3. Choose your data entry options
Press the "Paste Options" button in the lower right corner of the table to view the list of available options.
If you don't see the "Paste Options" button, it means that this feature is not active. To enable it, go to "Word Options" and select the "Advanced Settings" tab. Within the "Cut, Copy and Paste" section, select the "Show buttons for paste function" checkbox
Step 4. Select the Keep original formatting option to use the same table style used in Excel
Step 5. Select the Apply Destination Table Style option to use the style applied to the Word document
Step 6. Create a link to the Excel table
Word provides a feature that allows you to create a link to other Office package files. This means that all changes made to the data in the Excel sheet will also be replicated within the table in the Word document. To use this function, and create a link to the Excel table, choose the option Keep original formatting and link to Excel or Apply target table style and link to Excel.
The two link options use the two style options seen above, respectively
Step 7. Choose the Keep Text Only option to paste the Excel sheet content excluding any data formatting
When you use this option, each row of the Excel table is inserted into the Word document within a single paragraph and the data relating to the columns are separated from each other by a tab
Method 2 of 2: Insert an Excel Chart Inside Word
Step 1. From the Excel sheet, select the chart in question with a click of the mouse, then press the hotkey combination Ctrl + C to make a copy.
Step 2. From the Word window, press the hotkey combination Ctrl + V to paste the graph.
Step 3. Choose your data entry options
In the lower right corner of the table, press the "Paste Options" button to view the list of available options.
Unlike when pasting simple Excel data, pasting an entire chart provides two different sets of options to choose from. You can change the options related to the chart data as well as change the formatting options
Step 4. Choose the Chart (linked to Excel data) option so that the chart is automatically updated when the data in the original Excel sheet is updated
Step 5. Choose the Excel Chart (Whole Workbook) option to allow direct access to the entire Excel workbook
To access the Excel file from the graph, select it with the right mouse button, then choose the "Edit Data" option from the context menu that appeared. The Excel source file will open
Step 6. Choose the Paste as Image option to paste the chart into the document as a static image
Note that in this case the chart will not be updated if the data in the original Excel sheet are changed.
