While it may seem like a very trivial procedure, framing an envelope correctly ensures that the letter reaches its destination. The size and weight of the envelope are the factors that determine the cost of shipping and therefore the number of stamps you will need to attach. Refer to the instructions in this article, but be aware that postage rates may vary over time; for this reason always ask for information at the post office.
Steps
Part 1 of 3: Determine the Shipping Cost for an Envelope
Step 1. Check the envelope size
These should be indicated on the packaging or on the envelope itself. The DL format postal_size_size is equivalent to 110 x 220 mm and corresponds to 1/3 of A4 sheet. The standard measure is considered. This kind of envelope has a rectangular shape and can be purchased at the post office or in stationeries.
- You can also use a smaller envelope, such as C6 or C7 size (81 x 162 mm) and always use a regular postage stamp.
- If possible, fold the letter so that it fits snugly into the standard envelope to help reduce shipping costs.
- Envelopes larger than the DL size are considered "bulky" and therefore their shipping is more expensive.
- The envelopes for postcards, those used to send greetings or for invitations, are subject to a differentiated rate. This is because their small size, the particular square shape or their rigid content require a differentiated sorting system (they could jam in the machines), increasing costs.
Step 2. Weigh the letter
You can do this at the post office or with a small office scale. The weight and size of the letter (envelope included) determine the price you will have to pay for shipping and therefore also the number of stamps you will need to attach. Usually, the heavier the weight, the higher the cost.
- Letters in DL size envelopes weighing up to 20g can be sent by priority mail at a single rate.
- Letters in standard envelopes weighing more than 20g can always be sent by priority mail, but at a higher cost according to the weight bracket.
Step 3. Consider whether you want to send your correspondence as first class, registered or insured mail
These are the most used methods in Italy to send letters.
- The insured allows you to securely mail letters and documents of value, even money or checks. The maximum weight must not exceed two kilograms and the cost varies according to the weight and format brackets. The cost for domestic insured shipping does not vary by region or city of destination. The traceability service is available (to find out at what point the shipment is), the content is also insured for amounts exceeding € 50 and you can request confirmation of delivery.
- Registered mail is ideal for having the legal guarantee of shipments. The price varies according to the weight (maximum 2 kg for envelopes) and according to the additional services requested (cash on delivery, proof of delivery, etc.). Traceability is also available in this case and delivery is guaranteed in 4-5 days in the hands of the recipient or a delegate authorized by the latter. The national rate does not vary according to the region or city of destination. At a cost of € 4 it is possible to use a home collection service: you can make an appointment and the postman will come to you to collect the registered envelope and will arrange for the shipment.
- Priority shipping, beyond the name, is the standard method in Italy that allows you to send correspondence up to two kilograms of weight at reduced rates (which vary according to the weight brackets). The dimensions of the envelopes also contribute to the definition of the price, so inquire at the post office or the Italian Post Office website. The price does not vary according to the region or city of destination. It is the ideal method for sending regular correspondence when notification of receipt or legal certainty of shipment is not required. If you need to send multiple envelopes, for example for commercial purposes, you can inquire at the post office about services for companies.
Part 2 of 3: Franking a Standard Envelope
Step 1. Purchase a number of stamps for an amount equal to the cost of shipping, based on the weight, size of the envelope and the method of delivery
If you want the letter to arrive quickly, use a registered or insured service. If you are not sure which shipping method is best suited to your needs, ask the post office employee for information.
- To send a letter in DL format weighing up to 20 g by priority mail, the cost is 80 euro cents.
- To send a medium or non-standard size envelope weighing up to 20g by priority mail, you will need to spend € 2.15.
Step 2. Attach the stamp to the envelope
If you are using self-adhesive stamps, remove the protective film on the back side; if you are using "gummed" glue stamps, moisten or lick the back side.
- Put the stamp in the upper right corner of the envelope. This way you facilitate automated sorting operations.
- Check that the sender's and recipient's addresses are not hidden or covered by the stamp.
Step 3. Insert the envelope into the letterbox
You can drop it in the special hole you find at the post office or in another hole in the city.
- You can also deliver it directly to the post office employee.
- Letters weighing more than 20g must be delivered to the counter to check their weight.
Part 3 of 3: Franking Non-Standard Envelopes
Step 1. Purchase a number of stamps for an amount equal to the cost of shipping, based on the weight and size of the envelope and the service requested
In case of priority shipping, if the weight is between 20 g and 50 g you can use a standard DL envelope; for heavier weights you will need to upgrade to a medium or extra standard size pouch. If you need your correspondence to be delivered quickly, choose the registered or insured method. If you are undecided about which service is best suited to your needs, ask the post office employee for more details.
- To send a non-standard envelope weighing less than 20 g with priority mail you will pay a cost of € 2.15.
- For a shipment that exceeds 20 g with a non-standard envelope, the prices vary according to the weight bracket, but in any case they are not less than 2.40 euros. The destination region and national city do not affect the cost.
Step 2. Attach the stamp to the envelope
If you are using a stamp with "gummed" glue you will have to lick or moisten the back side of it; if you are using a self-adhesive stamp, just remove the protective film.
- Place the stamp in the top right corner, making sure it is aligned with the return address in the top left.
- Do not cover or hide the sender's or recipient's address with the postage stamp.
Step 3. Send the letter
Drop the envelope in the post box outside the post office or anywhere in town.
- You can also leave the envelope directly in the hands of the postal clerk.
- To send letters weighing more than 20 g you have to go to the counter, because they have to be weighed.
