A fax works by scanning the inserted documents, sending the data via a landline phone, and then printing the copies at another fax location. It's an effective way to send information without scanning it to your computer and emailing it. By sending a fax, you are able to send, with little effort, copies of handwritten documents or signed documents. Here is a simple guide to understanding how to use the fax machine.
Steps
Method 1 of 3: Send a fax
Step 1. Turn on the machine
Step 2. Insert the documents face up
By placing them in this position, it is sure that they will be sent the way you want. It is also important to order them the way you want them to be received. If you are sending something through your work fax or a machine used by a large number of people, it is best to include a cover sheet.
-
The cover should be placed on top of the documents and should include:
the name of the sender, the fax number of the recipient, your name, your fax number and the number of pages transmitted. The cover must also be included in the number of pages.
Step 3. "Dial" the recipient's fax number on the machine
Step 4. Press the "Submit" button
On some machines the button may be indicated by "Start".
Method 2 of 3: Receive a Fax
Step 1. Check the printer to make sure it is capable of receiving faxes
-
The sender must have the correct number, including the area code.
-
The fax must be turned on and connected to the telephone line.
-
The telephone line must be fully available. This means that the receiver must not be in use and neither should the other telephone devices in common with the fax line.
-
The ink cartridge must not be empty.
-
The printer must have enough paper to receive the entire fax.
Step 2. The machine will start receiving the fax
It will emit the dial-up sound. Do not touch anything on the machine as you risk the transmission failing.
Step 3. The fax will start printing
The first sheet should be the cover.
Step 4. Make sure all faxes have been received
Check it.
Step 5. Confirm that you have received the fax
Call or fax a reply to let the sender know that you have received the fax in full. If you don't know the sender's contacts, check if the cover page includes them.
Method 3 of 3: Configure the Fax Machine
Step 1. Plug the power cord into an outlet
You will need to make sure that the machine is on a flat surface where the paper has room to exit the front of the machine.
Step 2. Connect the phone line to the phone jack on the machine
The cord should go directly from the telephone wall jack on the back or side of the printer.
Step 3. Connect the line to the fax
The phone jack must be connected to an active landline. The fax must have its own telephone number other than the home or work line.
Step 4. Insert the sheets into the paper tray
Also make sure there is ink in the machine.
Step 5. Turn on the machine
Check that the line is connected properly by picking up the handset and listening for a signal. You can also change the settings using the options on the screen and on the menu.
