An important step in managing an effective business meeting is planning. Fix key points on paper or on your computer. You can also give attendees a copy of your agenda so they know what to expect and can prepare.
- You should indicate the purpose of the meeting. It should be the final goal you are aiming for, such as finding a new idea or discussing an important issue. Try to limit the topics though. In a meeting it would be appropriate to address the most important things.
Step 2. Follow the agenda items during the meeting
Make sure you follow the established plan. If the meeting starts to go off topic, bring the discussion back to the scheduled topics
Step 3. Start your meeting now
Once it's time for the meeting, start it on time. This helps establish your role as a leader, as well as making the best use of the time you have
Step 4. Set a time limit for the meeting
It doesn't have to be too long, at most 30 minutes or less is fine. A short meeting guarantees greater efficiency and allows you to use your time wisely; moreover, participants remain more focused when they know that the meeting is short. After the deadline, the meeting ends. You will always be able to address the other points in a later match
Step 5. Encourage attendees to leave comments and suggestions
- Ask questions and let them answer spontaneously. Don't force engagement, but gently encourage them to contribute. If a person comments, invite others to say something as well, such as, "Well done. Someone else has some advice to give," or "Let's hear a suggestion from someone else."
- Don't push those who rarely speak, as it may make them feel uncomfortable. Encourage them indirectly by saying, "I appreciate the opinion of everyone present. Anyone else want to add something?" and look at the person who wishes to speak. He may feel encouraged to share his thoughts; otherwise he will not feel embarrassed at being called.
